This Privacy Policy explains how TechsoulPRO (“we,” “us”) collects, uses, and shares information when you use our AI voice agent platform (the “Service”) — both as our customer (a business using TechsoulPRO) and as a caller who speaks with a TechsoulPRO-powered voice agent on a customer’s behalf.
1. Information We Collect
From our customers (businesses)
- Account information: name, email, business name, phone number.
- Billing information processed by our payment provider, Paddle (we do not store your full card details ourselves).
- Configuration data: agent scripts/prompts, voice and language settings, business hours, and timezone.
- Usage data: call volume, minutes used, feature interactions, and log/diagnostic data.
From calls handled by the Service
- Caller phone numbers and call metadata (time, duration, direction).
- Call recordings and transcripts generated by our AI voice processing partner during the call.
- Information callers provide during the call (e.g. name, phone number, appointment details, reason for calling) so appointments can be booked and follow-ups can happen.
2. How We Use Information
We use the information above to:
- Provide, operate, and improve the Service.
- Process and transcribe calls, check appointment availability, and book appointments in real time.
- Sync call activity and contact information to a third-party CRM you’ve chosen to connect.
- Process payments and manage subscriptions.
- Provide customer support and send service-related communications.
- Detect, prevent, and address fraud, abuse, or security issues.
- Comply with legal obligations.
3. Call Recording & Transcription
When a TechsoulPRO agent handles a call, the audio is processed in real time to generate a spoken response, and the call is recorded and transcribed so our customer (the business) can review it in their dashboard. It is the customer’s responsibility to comply with any call-recording consent laws applicable to their business and callers (see our Terms of Service).
4. Third-Party Service Providers
We share information with the following categories of service providers, only as needed to operate the Service:
- Retell AI, Inc. — provides the real-time AI voice processing (speech recognition, conversational AI, and text-to-speech) that powers call handling, recording, and transcription.
- Supabase — hosts our database, authentication, and file storage.
- Paddle.com — processes payments and acts as merchant of record for subscription purchases.
- Zoho Corporation — if you connect your Zoho CRM, relevant call and contact data is sent to your own Zoho account under your control.
- Resend — delivers transactional emails (e.g. account verification, password resets).
- Vercel — hosts and serves the TechsoulPRO application.
We do not sell personal information. We may also disclose information if required by law, or in connection with a merger, acquisition, or sale of assets.
5. Data Retention
We retain call recordings, transcripts, and account data for as long as your account is active, or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. You can request deletion of your data as described in Section 7.
6. Data Security
We use industry-standard safeguards — including encryption in transit, access controls, and role-based permissions — to protect information against unauthorized access, alteration, or loss. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
7. Your Rights
Depending on your location (for example, under the UK/EU GDPR or the Australian Privacy Act 1988), you may have rights to access, correct, delete, or export your personal information, or to object to certain processing. To exercise these rights, contact info@techsoulpro.com. If you are a caller (not our direct customer) and want to make a request about a call handled on a business’s behalf, we may direct you to that business, as they control the underlying account.
8. International Data Transfers
We serve customers in the United States, United Kingdom, and Australia, and our service providers may process and store data in countries other than your own. Where required, we rely on appropriate safeguards (such as standard contractual clauses) for such transfers.
9. Cookies
We use essential cookies to keep you signed in and to remember basic preferences (such as light/dark theme). We do not use third-party advertising cookies.
10. Children’s Privacy
The Service is intended for business use and is not directed at children. We do not knowingly collect personal information from children under 16.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We’ll post the updated version here with a new “last updated” date, and for material changes we’ll make reasonable efforts to notify you.
